Our mission on the protection of personal information, Comolife Co., Ltd. Group

  • Mission

Comolife Co., Ltd. and Comolife Group (hereinafter referred to as “we/us/Company”) provide various services including designing, manufacturing and sale (including Internet sale) of products, office rental, study room rental and real estate services. We have established this Privacy Policy as a code of conduct to be complied with by our officers and employees to handle all personal information we retain in the course of our business in a strict manner, and we are committed to ensuring compliance with this Policy by all of our officers and employees.

1.  Collection, use and provision of personal information

  • We collect personal information by lawful and fair means.
  • We use personal information only within the scope necessary for the achievement of the purposes for which it is used.
  • When providing personal information to a third party, we obtain the consent of the individual to whom the information relates.
  • We do not use the personal information we collect for any purpose other than the purposes for which it was collected.
  • If it becomes necessary to use personal information for any purpose other than the purposes for which it was collected, we first obtain consent from the individual allowing the use of information for the new purpose.

2.  Laws, regulations, guidelines and other stipulations established by the State (hereinafter referred to as the “Laws and Regulations”)
     We make efforts to understand at all times the Laws and Regulations applicable to our business in relation to the handling of personal information, and ensure that our employees who conduct our business (hereinafter, “Employees”) are well informed of and in compliance with the Laws and Regulations.

3.  Secure management of personal information

  • We establish and maintain a system that promptly implements measures to ensure the secure management of personal information in order to prevent unauthorized access to, leakage of, loss of or damage to personal information, and to avoid all risks associated with personal information.
  • We conduct inspections and if any breach or accident is found, correct it immediately, as well as implementing preventive measures against any vulnerability.
  • We provide Employees with thorough training in regards to security.

4.  Complaints and requests for consultation
     We establish a system to enable expeditious handling of complaints and requests for consultation concerning personal information by establishing the Personal Information Enquiry Desk, and through this system, we respond to complaints and requests for consultation in a faithful manner.

  • Handling of personal information

Handling of personal information by Comolife Co., Ltd.

1.  We use personal information we collect (including information collected through Internet shopping malls, requests for shipping of products by customers, rental offices and study rooms) for the following purposes:
I.       To ship and confirm purchased products;
II.      To respond to complaints and inquiries concerning products;
III.    To send mail magazines;
IV.     To select winners in a campaign and to ship prizes to the winners;
V.       To make an announcement concerning seminars, exhibitions and other events hosted by the Company;
VI.     If we individually notified specific purposes for which personal information is to be used, to use the information for such purposes;
VII.   To communicate with and manage customers;
VIII.  To communicate with, manage and evaluate Employees; and
IX.     To communicate with, manage and evaluate job applicants.

We may record telephone conversation to improve our services.
   

  • Procedure for a Request for Disclosure, etc.

We will follow the procedure listed below in response to the following: (1) a request to disclose personal information; (2) a request to notify the purpose for which personal information is used; (3) a request to correct personal information; (4) a request to add personal information; (5) a request to delete personal information; or (6) a request to suspend the use of personal information or the provision of personal information to a third party (hereinafter (1) to (6) is collectively referred to as “Request for Disclosure, etc.”):
I.     Contact for a Request for Disclosure, etc.
       If you wish to submit a Request for Disclosure, etc., please contact the following contact desks and request a “Personal Information Disclosure Request” form. We will send you the form.
       Please fill out and mail the form together with required documents to us. When you are mailing a request form to us, please use mail with proof of delivery, simple registered mail or any other method by which delivery of mail can be confirmed.
       Please write on the envelope, in red, “Personal Information Request Form Enclosed.”
II.   Documents to be submitted when making a Request for Disclosure, etc.
       To make a Request for Disclosure, etc., please fill out necessary sections in the Personal Information Disclosure Request form, enclosing and sending this request with any one of the following identification documents:
       A copy of driver’s license, certificate of residence or health insurance card.
       * Please black out the domicile section in the copy.
III.  Request for Disclosure, etc., by a representative person
       If you authorize your representative to make a Request for Disclosure, etc., on your behalf, please enclose the following documents in addition to the Personal Information Disclosure Request form.
(1)   Document to verify the identity of the representative, which can include any one of the following:
       A copy of a driver’s license, certificate of residence or health insurance card
       * Please black out the domicile section in the copy.
(2)   Power of attorney (you must affix your own seal and attach a certificate of registered seal.)

       If your representative is a legal representative, such as your parent, you may submit a document proving your relationship with the representative in lieu of power of attorney.
IV.   Fee for a request for disclosure and notice of purposes for which personal information is used
       We charge a 1,080 yen (inclusive of taxes) processing fee per request when you ask us to disclose or provide notice concerning purposes for which your personal information is used.
       Please enclose a postal money order for 1,000 yen when sending your request. You are responsible for the payment of all fees related to the purchase of a postal money order and the postage needed to send your request.
       If the fee enclosed is not sufficient or is not enclosed, we will not be able to disclose personal information or provide notice concerning purposes for which personal information is used.
V.    Method of response to Request for Disclosure, etc.
       We will respond to your Request for Disclosure, etc., by sending a document to the address stated in the request form.
